OPEN RECORDS REQUEST
Dear Finance Department:
We request certain records pertaining to all outstanding checks or other negotiable instruments, the amounts for which have not yet been paid to the payees listed thereon, that were drawn or issued by the Municipality more than six (6) months prior to the date of this letter (collectively, the "Outstanding Payments"). We further request certain records pertaining to all unclaimed funds otherwise in the possession of the Municipality (the "Unclaimed Funds"). Outstanding Payments and Unclaimed Funds are collectively referred to herein as "Unpaid Amounts" and each as an "Unpaid Amount". We request that you provide copies of such records that show as much of the following information pertaining to each Unpaid Amount as are in the possession of the Municipality: 1) the name of the payee or person entitled to the funds; 2) the date of the check or negotiable instrument of the date the amount otherwise became due from the Municipality; 3) the amount; 4) the address of the payee or person entitled to the funds; and 5) any notes of the Municipality's officers or staff concerning the Unpaid Amounts. This request excludes all records pertaining to Unpaid Amounts that have escheated to the state. It further excludes all records pertaining to Unpaid Amounts of less than $1,000 unless the sum of an Unpaid Amount of less that $1,000 and all other Unpaid Amounts payable to the same payee collectively exceed $1,000.
Please provide the requested records in electronic form, if feasible. In lieu of the records requested, we will accept an excel spreadsheet detailing all of the above-described information (or as much thereof as is retrievable from the Municipality's records) pertaining to the Unpaid Amounts. We are prepared to pay any fees and charges assessable to our firm in connection with this request, up to the amount of $50.00. If the Municipality's fees for fulfilling this request exceed that amount, please contact the undersigned to discuss this matter.

RE: REQUEST FOR PUBLIC RECORDS - NOTICE OF DETERMINATION
Dear Ms. Main,
The City of Garden Grove has completed its initial review of your November 2, 2015, requesting information regarding uncashed/stale dated checks. This letter shall serve as the City's notice of determination as to whether your request calls for the disclosure of non-exempt and non-privileged public records in the possession of the City, pursuant to the California Public Records Act Government Code Section 6250. The City's determination in this regard is as follows:
Records deemed responsive to your request have been located and are determined to contain responsive non-exempt, non-privileged information under the Act. City staff is, however, still in the process of gathering and assembling the requested information. City Staff anticipates completing the document review and making copies available on or before Wednesday, December 16, 2015.

Re: Request for Public Records – NOTICE OF EXTENSION

Dear Ms. Main,
The City of Garden Grove has received your records request dated November 2, 2015, requesting information regarding uncashed/stale dated checks. This letter shall serve as notification of the City’s intent to comply with your request for public records, pursuant to the California Public Records Act (the “Act”) (Government Code §6250 et seq.).
The City is in the process of evaluating this request and is compiling records in an effort to make a determination as to whether the request seeks copies of disclosable public records in the possession of the City of Garden Grove. However, notice is hereby given that the time limit to make this initial determination under the code shall be extended by fourteen (14) days to November 25, 2015, pursuant to Government Code §6253, for the following reason:
(a) The extension of time is reasonable and necessary for the proper processing of the request.
As noted above, the City’s written determination as to whether the request seeks copies of disclosable, non-exempt and non-privileged public records in the possession of the agency shall be sent to you on or about November 25, 2015. Pursuant to the Act, thereafter any and all disclosable, non-exempt and non-privileged public records that are deemed responsive to your request will be made promptly available to you.
